System Requirements

NoteFlow works on Windows 10 (version 1903 or later) and Windows 11.

• Windows 10 (1903+) or Windows 11
• 8 GB RAM recommended for smooth AI performance
• 16 GB RAM ideal for large document collections
• An active audio output device for recording system audio

Setting Up AI for the First Time

NoteFlow requires an AI engine to run on your computer. On first launch, the app will guide you to install it automatically.

1. Open NoteFlow. If the AI engine is missing, you will see a setup prompt.
2. Click Install and follow the on-screen instructions.
3. Once installed, restart NoteFlow.
4. The app will automatically detect the AI engine and begin working.

Setting Up the WhatsApp AI Bot

1. Open NoteFlow and go to Settings → WhatsApp.
2. Scan the QR code with your phone’s WhatsApp app (Linked Devices).
3. Wait for the connection status to turn green.
4. Add approved contacts to the whitelist — only these numbers can trigger AI replies.
5. Done. NoteFlow will now compose and send AI replies automatically.

Managing Your Pro Subscription

NoteFlow Pro is billed through the Microsoft Store. You can manage, upgrade, or cancel your subscription at any time:

1. Open the Microsoft Store app on your PC.
2. Click your profile picture and select Payment & billing → Subscriptions.
3. Find NoteFlow Pro and select Manage.
4. From here you can cancel, change your plan, or update payment methods.

Troubleshooting: No Audio Captured

• Ensure NoteFlow has microphone permission in Windows Settings → Privacy → Microphone.
• For system audio, make sure you have an active audio output device (speakers or headphones).
• Try restarting NoteFlow after changing audio devices.
• Check that your audio device is not exclusively locked by another app.

Troubleshooting: Transcription Not Starting

• Verify the AI engine is installed and running (check Settings → AI Status).
• Check that your PC meets the minimum RAM requirement (8 GB recommended).
• Try downloading the AI models manually from Settings → AI Models.
• Restart both the AI engine and NoteFlow.
