What is NoteFlow?

NoteFlow is a privacy-first, offline AI note taker for Windows. It records your meetings, transcribes them using AI on your computer, lets you take notes, and generates structured summaries — all without sending data to the cloud. It also includes Notebooks (an offline research assistant) and a WhatsApp AI Bot.

Does NoteFlow work offline?

Yes, completely. Once the AI is set up (a one-time, free installation), every feature works without an internet connection — transcription, note enhancement, document chat, and even the WhatsApp Bot (as long as your phone has connectivity).

Is my data really private?

Absolutely. Raw audio is captured on your computer, processed on your computer, and deleted after processing by default. Transcripts and notes are stored in a local encrypted database on your PC. No account, no cloud upload, no telemetry, no analytics.

What are the system requirements?

NoteFlow works on Windows 10 (version 1903 or later) and Windows 11. 8 GB RAM is recommended for smooth AI performance; 16 GB is ideal for large document collections. You need an active audio output device for recording system audio.

How much does NoteFlow cost?

NoteFlow is free to use with core features. The free tier includes local transcription, AI note enhancement, meeting history, and export — capped at 30 minutes per meeting. Pro is $0.99/month or $9.99/year and unlocks unlimited recording, advanced AI, full Notebooks access, and the WhatsApp AI Bot.

How is the Pro subscription billed?

Pro is billed securely through the Microsoft Store. You can choose monthly ($0.99) or yearly ($9.99). No external payment portal, no hidden fees. Cancel anytime from your Microsoft account settings.

What happens if I cancel Pro?

You keep all your notes and history. You simply revert to the free tier limits: 30-minute recording cap and basic AI enhancement. Notebooks and WhatsApp Bot features become read-only.

What AI does NoteFlow use?

NoteFlow uses AI models that run directly on your computer. The free tier uses a lightweight transcription model. Pro unlocks higher-quality AI for better accuracy and faster performance.

Can I export my notes?

Yes. Every note and transcript can be exported to Markdown, plain text, or copied to the clipboard. Your data is always in open formats — no vendor lock-in.

What is the WhatsApp AI Bot?

The WhatsApp AI Bot lets you link your existing WhatsApp number to NoteFlow. After scanning a QR code in Settings, NoteFlow listens for incoming messages from approved contacts and composes AI-powered replies using your local AI — no cloud API, no per-message cost.

What are Notebooks?

Notebooks is an offline AI research assistant. You create a notebook, add sources (PDFs, text files, web pages, meeting transcripts, audio, video), and chat with them using AI that reads your files. Every answer shows you exactly which document it came from. You can also generate Study Guides, FAQs, Briefing Docs, and Timelines.

Do I need an account to use NoteFlow?

No. NoteFlow requires no sign-up, no login, and no password. Open the app and start capturing immediately. The only optional authentication is for the WhatsApp Bot linking, which uses your existing WhatsApp account.

How does the free recording cap work?

The free tier limits each meeting recording to 30 minutes. There is no limit on the number of meetings you can record. Pro removes the time limit entirely.

Can I use NoteFlow on multiple computers?

Yes, you can install NoteFlow on multiple Windows PCs. However, your notes are stored locally on each computer and are not synced between devices. This is by design for maximum privacy.

Is there a mobile app?

Not yet. NoteFlow is currently available for Windows 10 and 11. We are exploring mobile platforms for future releases.
